Privacy Policy
Meetings hold some of your most sensitive conversations. This policy explains what we collect, how it is used, who can see it and how you stay in control.
1.What we collect
We collect only what is needed to record meetings, write notes and run your workspace:
- Account details: name, work email, company, role, team size and the plan you choose.
- Meeting content: audio and video recordings, transcripts, notes, decisions and action items from meetings Nascorne is asked to record.
- Calendar details: meeting titles, times, links and attendee names and emails for the calendars you connect.
- Connected tool details: the accounts, projects and boards you link through Task Sync.
- Usage details: sign-in times, device and browser type, and feature usage, used to keep the service working and secure.
2.Recording and consent
Nascorne records only when a meeting owner asks it to, and always tells attendees. When it joins an online meeting it appears as a named participant, announces the recording and posts a notice in chat. In-room recordings show a notice on the recording device.
Any attendee can ask the host to stop recording. Paused or stopped sections are not stored. Meeting owners are responsible for following the recording laws that apply to their meetings.
3.How we use your data
- To transcribe meetings and write notes, decisions and action items.
- To send summaries, tasks, reminders and digests to the people you choose.
- To answer questions in Ask My Meetings, using only meetings the person asking can access.
- To sync tasks and notes with the tools you connect.
- To provide support, prevent misuse and keep the service secure.
Your meeting content is never used to train AI models for other customers.
4.Who can see your meetings
Recordings, transcripts and notes are visible only to the people the meeting owner shares them with. Workspace admins on Auditorium plans can set sharing rules for their teams.
We do not sell personal data or meeting content. Our staff access customer content only when you ask for help with a specific meeting, or when needed to investigate a security issue, and that access is logged.
5.Service providers
We use a small number of providers for cloud hosting, speech processing, email delivery and payments. They process data only on our instructions and under contracts that require them to protect it. Data sent to connected tools such as task apps and CRMs is governed by those tools' own policies.
6.Security
Recordings and transcripts are encrypted in transit and at rest. Access is limited by role, and sign-in can be protected with single sign-on on Auditorium plans. No system is perfectly secure, and we will notify affected customers without undue delay if a breach affects their data.
7.Retention and deletion
Recordings are kept only as long as your workspace settings allow: 90 days on Huddle, up to one year on Boardroom, and custom periods on Auditorium. Meeting owners can delete a recording, transcript or note at any time.
When a workspace is closed, its meeting content is deleted within 30 days, except where we must keep limited records such as invoices for legal reasons.
8.Your choices and rights
You can view, correct, export or delete your account details and meeting content from your workspace. You can also ask us to do this for you through the contact page. If you attended a meeting recorded by another workspace, contact that meeting's owner first; we will help where we can.
10.Changes to this policy
If we make a material change to this policy we will tell workspace owners by email before it takes effect.
